About

About the Dutch Honorary Consulate in Malmö

Emelie Borg is the Honorary Consul of the Netherlands in Malmö, according to the official Dutch government website.

The honorary consul represents the Netherlands at selected official events, maintains contacts with Dutch businesses operating in Sweden and may provide appropriate assistance to Dutch nationals.

Dutch–Swedish Relations

The Netherlands and Sweden maintain close diplomatic and economic relationships as members of the European Union.

Southern Sweden has important activities in logistics, manufacturing, technology, life sciences and sustainable development. These sectors may create opportunities for cooperation between Dutch and Swedish organisations.

The honorary consul provides a local representative contact, while the Embassy of the Netherlands in Stockholm remains responsible for formal diplomatic and consular procedures.

Assistance for Dutch Nationals

Dutch nationals living in or visiting the Malmö region may need guidance following an emergency, or information about passport renewals and official certificates.

The honorary consul can be contacted about appropriate local matters. Formal applications must follow the procedures of NetherlandsWorldwide and the Dutch embassy.

Dutch Passport and Identity Card Applications

The honorary consulate in Malmö does not accept passport or identity card applications.

Dutch nationals living in Sweden can apply at the Embassy of the Netherlands in Stockholm. Depending on personal circumstances, an appointment at the Dutch embassy in Copenhagen or a Dutch border municipality may also be possible.

Start with the official application guide for Sweden.

Create a personal checklist for each applicant, gather all required documents and make an appointment. Applicants of every age must attend in person.

Documents to Prepare

Depending on your circumstances, you may need:

  • A completed, printed and signed passport or identity card application form.
  • Your printed personal document checklist.
  • Current and expired Dutch and foreign passports and identity cards.
  • Proof of legal residence in Sweden.
  • Birth, marriage or nationality documents when required.
  • Multilingual documents or sworn translations.
  • Parental or guardian consent documents for minor applicants where applicable.
  • A passport photograph meeting Dutch requirements.

If you apply for both a passport and an identity card, arrange separate appointments.

Proof of Legal Residence in Sweden

NetherlandsWorldwide requires an official extract from the Swedish population register, known as personbevis.

The extract must be issued in English, signed and stamped, and be no more than three months old on the appointment date.

The official instructions specify the Skatteverket extract Utdrag om folkbokföringsuppgifter – 120 med alla relationer.

You can request it through Skatteverket online, by contacting the agency or by visiting an appropriate service office.

Dual Dutch–Swedish nationals may instead use a valid Swedish passport or national identity card. A Swedish driving licence or an identity card issued by Skatteverket is not sufficient for this particular purpose.

Swedish Birth and Marriage Documents

Birth and marriage documents issued in Sweden do not normally require legalisation for Dutch passport or identity card applications.

However, Swedish-language documents may need a multilingual standard form or a sworn translation.

Check your personal checklist before ordering or translating supporting records.

Collecting Your New Passport or Identity Card

The embassy in Stockholm will notify you when your new document is ready.

According to the official Sweden application guide, document collection is available:

  • Monday: 12:00–12:30.
  • Wednesday: 09:00–09:30.

No separate collection appointment is necessary during these times. Check embassy closure dates before travelling.

Documents must be collected or arranged for delivery within three months of notification.

Postal Delivery in Sweden

Under the Sweden-specific procedure, new Dutch passports and identity cards can be sent through Postnord when the applicable conditions are met.

If you no longer need your previous passport, you can surrender it during your application. The embassy can then send your new document together with the invalidated old document.

You must pay the postage costs yourself and follow the embassy’s mailing instructions.

If you need to retain your current passport during processing, you must return to the embassy to have it invalidated and collect the replacement.

Delivery conditions: applicants must meet the official identification requirements for postal delivery. Confirm your eligibility and mailing arrangements when submitting the application.

Certificates of Life in Sweden

A certificate of life may be required by a Dutch pension provider or benefits organisation.

In Sweden, pre-printed certificates of life can be signed and stamped free of charge at any service office of the Swedish Pensionsmyndigheten. No appointment is required for this service.

Dutch nationals can also request assistance with certificates of life at the Dutch embassy in Stockholm, by appointment.

For more details, consult the official certificate of life guidance for Sweden.
